The challenge

A single clerk was fielding the same three questions all day: how much is owed, how can it be paid, and did the payment go through.

Defendants who could not pay ahead of the court date appeared in person, lengthening the docket for cases that were only ever about money.

The approach

A bilingual toll-free IVR line was configured with the same lookup and business rules as the online portal, so payers reach the same answer regardless of channel.

The online citation payment page was published with lookup by citation number, name and date of birth.

Both channels were referenced directly on citations and in the court's outgoing phone message.

The results

The clerk reports a substantial reduction in daily calls — the workload effect that makes the difference in a one-person office.

More defendants pay before the court date, which shortens the docket and reduces in-person volume.

Payments made at 9pm on a Sunday post the same way as payments made at the counter on a Tuesday.
